Xcelerate CRM

The Xcelerate CRM is intended to track your partners and subcontractors to help drive leads and manage your referrals. It is a powerful tool to keep track of jobs sent to you by your partners and track marketing spend and sales activities.

ADDING ORGANIZATIONS

When adding new contacts in the online platform Organizations should be added to the system first. When adding through the mobile you can add the organization simultaneously.

Navigate to the CRM in the main side menu and select the Organization tab. Then Click on Add New Organization.

Enter the appropriate information within the pop-up box as indicated and click save

Note:

  • Organization Types can be added in the configurable section of the Admin tab.
  • Sales Representative: Sales representative must be an active Xcelerate user for their name to show in this drop-down list.

Organizations can be edited or deleted by using the checkbox on the left side and clicking Edit or delete

Alternatively, new organizations can be added to the CRM when creating a Master Job by clicking on the yellow +.

ADDING PEOPLE

Once an organization has been added you can add a person that will be associated with that organization.

Navigate to the People Tab and click Add New Person

Fill out the appropriate information in the pop-up screen.

Please Note:

  • Organization: When utilizing the online platform, the organization should be entered into the system prior to entering the individual person.
  • Organization Type: this can be customized within the Admin tab under Configurable.
  • Contact Type: this can be customized within the Admin tab under Configurable.
  • Sales Representative: The sales representative must be an active Xcelerate user for their name to appear in this drop-down list.
  • Contact Cadence (Days): This is the number of days you can assign to contact for follow-up. Each time the contact has not had modifications for longer than the duration set a Red Exclamation Mark will appear in the Compliance Column for that contact.
  • Tags: These are a helpful tool for sorting and finding contacts within the main contact table. (i.e. VIP)

Once complete click save.

Alternatively, new organizations can be added to the CRM when creating a Master Job by clicking on the yellow +.

NAVIGATING THE BASEBALL CARD VIEW

When clicking on an organization or a person you will be presented with the Baseball Card view. There are multiple tabs and options within each

Summary Tab:

Note Tab:

 All notes entered within sales activities or directly into the contact will appear here. To add a new note click Add Note

Activities Tab:

Track all sales-related activities within this tab. Previous activities will appear here, and you can also schedule activities from this tab.

Click add new sales activity to enter a new activity.

Enter activity information as required. Ensure all activities associated with marketing spend are tracked for accurate reporting. Activities can also be assigned to alternative employees as long as they are Xcelerate users.

Once entered choose the appropriate option to save it to the contact.

File Tab:

All files that have been associated with the contact in the Master Job Creation will appear here.

Document Tab:

Documents can be added to the contact within this tab 

Contact Tab: (Organization only)

 Includes all contacts associated with the organization. New contacts can be added from this tab.

TRACKING SALES ACTIVITIES

Tracking sales activities is imperative to building accurate reporting. Activities can be scheduled using the activity tab, through the baseball card view, or the activity calendar (beta)

Activity Tab:

click add new sales activities to create a new activity.

  Enter activity information as required. Ensure all activities associated with marketing spending are tracked for accurate reporting. Activities can also be assigned to alternative employees as long as they are Xcelerate users.

Once entered choose the appropriate option to save it to the contact.

Activity Calendar (Beta):

Navigate to the time and date of the appointment and click on the desired timeslot. Enter the activity title & click more details to add contact & organization.

Fill out as appropriate ensuring to track financial information for accurate reporting later.

LEADERBOARD


The leader board gives you an overview of your CRM contacts and at-a-glance numbers regarding their referral numbers and revenue.  

REPORTING

Under both the People and Organizations tabs there is a vast amount of data to help you better understand where your referrals are coming from & nurture those contacts accordingly.

Ensure that you have selected either all organizations or all people to view your full list of CRM contacts.

Note: You may right-click to export contacts. This can be turned off with user permissions.
